The financial appendix to an agreement with a research site is one of the key documents governing cooperation in a clinical trial. It defines the remuneration terms for the site, investigator, and study team, the method of settling procedures, and the payment conditions. A well-prepared appendix helps avoid misunderstandings, facilitates cost control, and supports the smooth conduct of the study.
A key element of the appendix should be a detailed description of compensation for patient visits. It is worth specifying the amounts payable for individual visits, which procedures are included in each rate, and whether payment is made for a completed visit, a partially completed visit, or only for procedures actually performed. This is particularly important for complex visits, screening visits, end-of-study visits, and additional visits.
The financial appendix should also specify the rules for settling medical and diagnostic procedures, such as laboratory tests, imaging procedures, specialist consultations, biological sample collection, administration of the investigational product, or procedures requiring additional staff involvement. If certain costs are re-invoiced or settled based on actual expenses, the method of documenting these costs should be clearly defined.
An important area is fixed fees, which do not directly depend on the number of enrolled patients. These may include site start-up fees, document preparation, participation in training, administrative support, archiving, site close-out, use of infrastructure, or hospital pharmacy services. Such costs should be described separately, together with the conditions under which they are charged.
The appendix should also regulate screen failure cases, where a patient undergoes part of the screening procedures but is ultimately not enrolled in the study. It should specify whether and to what extent the site is compensated for such cases and what conditions must be met for the cost to be accepted.
Payment schedules and conditions are another important element. The document should specify how often settlements are made, on what basis an invoice is issued, who approves completed visits or procedures, and within what timeframe payment is made. It is also worth defining the procedures to be followed in the event of discrepancies, missing documentation, or data requiring clarification.
A good financial appendix should be consistent with the study protocol, project budget, and provisions of the main agreement. It should clearly indicate what the site is being compensated for, when the compensation may be claimed, and which documents are required for settlement. The more precise the financial provisions, the lower the risk of disputes, delays, and unplanned costs during the conduct of the study.
