How Is Data Managed in a Clinical Trial?

Data Management is one of the most important processes in a clinical trial. Its purpose is to ensure that all collected information is complete, consistent, reliable, and properly prepared for statistical analysis. The process covers the entire data lifecycle — from designing the data collection system and verifying data to database lock.

Before the trial begins, a Data Management Plan (DMP) is prepared. It defines the rules for data collection, quality control, and archiving. Based on the DMP, an electronic Case Report Form (eCRF) is created, and validation rules are defined to automatically detect potential errors, missing data, or inconsistencies.

During the trial, data is entered by research site staff into the eCRF system. The Data Management team performs ongoing quality checks, assesses data completeness, and generates queries when discrepancies requiring clarification by the investigator are identified. Responses provided by the sites are then reviewed and documented.

An important part of Data Management is also the coding of medical information. Adverse events, concomitant diseases, and medications are classified using standardized dictionaries such as MedDRA and WHO Drug. This enables consistent analysis of data collected from different research sites.

Data quality is also supported through clinical trial monitoring. Clinical Research Associates (CRAs) verify that information recorded in the eCRF is consistent with source documentation at research sites and support the process of resolving discrepancies.

Once data collection is complete, all relevant queries have been resolved, and the required checks have been performed, a Database Lock is conducted. From this point onward, the data is considered final and can be transferred for statistical analysis.

Proper Data Management has a direct impact on the reliability of clinical trial results. The process is conducted in accordance with ICH GCP principles, ALCOA+ data integrity requirements, and the quality procedures applicable to the sponsor and CRO. With appropriately planned Data Management, reliable results can be obtained to support the assessment of the safety and efficacy of the investigational product.
